Meeting Agenda

An agenda helps everyone prepare for a meeting and saves time by providing clear items, objectives, and time frames. Good preparation greatly increases the probability of successful outcomes during the meeting.

We recommend sending a proposed agenda at least two days prior to the meeting. You can also check with the group at the start of the meeting to see if an item needs to be changed, added, or postponed for some reason. During the meeting, if you find that an item requires more time, you may want to agree on item(s) to postpone to another meeting.

Item

Subject or topic to be discussed.

Lead

The person responsible for ensuring the item is handled or completed. If the lead must actively listen to the discussion and takes notes, another person may serve as moderator or discussion guide.

Desired Outcome

The specific result you want from the discussion. Clarifying the desired outcome is important because it helps define how the item will be addressed.

Importance

The team can decide on the criteria for “low,” “medium” and “high.”

Time
If you have a clear desired outcome and priority, it will be easier to allot the right amount of time for the item. Without such analysis the time needed may be underestimated

 

Method
The group can use these methods to drive or support discussion:

  • Brainstorm: All group members contribute ideas and build on each other’s ideas freely and openly in order to generate as many ideas as possible.
  • Circle: Everyone takes a turn to speak, generally holding discussion until everyone has completed their turn.
  • Present and explain: Presenter provides information about a specific item; for example, describing a proposed task or step and explaining what is needed to accomplish it.
  • Feedback: Each person responds to a specific request or question.
